WATER VALLEY COMMUNITY ASSOCIATION
Meeting Minutes, Sep. 09, 2008
1. In attendance:
Ally Dunham (Director - President), Stacy Miller (Director – Treasurer), Judy O’Leary (Director- Secretary), Colin Swarbrick (Director), Elise Gareau-Smith.
Absent Directors: Brad Teigen, Veronica Ramsay
2. Minutes
Minutes from the last meeting approved. Moved by Ally Dunham, seconded by Colin Swarbrick.
3. Treasurer’s Report:
Stacy Miller.
4. Old Business
- a. Water Valley Days
- We will start planning in January
- b. Cremona Recreation Board Grant
- All equipment is purchased. Tim Clinton is testing equipment so he can demo to others.
- c. T. Smith request re mediation on library
- If requested by Lorna Oltrop, the executive will participate in mediation.
- d. Internet Tower
- The appeal was denied to Mike Peterson. He will be making a formal complaint to Industry Canada. Ally Dunham will contact Myron Thompson, MP to provide information on consultation already provided.
- e. Library Update
- The staff position will be advertised in the next Hitching Post.
5. New Business
- a. Formation of Bylaw Sub-Committee
- Moved by Judy O’Leary, seconded by Ally Dunham to form a bylaw subcommittee comprised of Veronica Ramsay, Ally Dunham and Dick Jarand to prepare new bylaws for the WVCA. Progress will be reported at the October meeting and the bylaws will be ready for approval at the November meeting. Public notice of this change to the bylaws will be in the next Hitching Post as required in the current bylaws.
- b. Formation of Library Sub-Committee
- Moved by Colin Swarbrick, seconded by Ally Dunham to form a library subcommittee comprised of one WVCA executive member, one Friends of the Water Valley Public Library executive member and one member at large. The subcommittee will work on library staffing (hiring, performance appraisal), budgeting, program planning and grant applications. The responsibility for the Library Board functions will remain with the WVCA. The subcommittee will make recommendations for approval by the WVCA. Members this year to be: Ally Dunham, Judy O’Leary, Margo Macleod.
- c. Chamber of Commerce Signs
- The Chamber has our permission to put up “Welcome to Water Valley” signs on the community property.
- d. Volunteer help
- Stacy Miller will help move the Lion's Wagon
- Volunteers are needed to cook turkeys for the October 5 Thanksgiving dinner.
6. Other Business
- a. Signs
- Ally Dunham will check to see whether the political signs are on community property and if so, will request that they be moved.
- b. Financial reports
- Several reports are missing from 2006/07. Moved by Ally Dunham, seconded by Colin Swarbrick that Stacy Miller, treasurer, take the 2006/7 material to an accountant to get the work brought up to date.
