Meeting Minutes, November 12, 2008
1. In attendance:
Directors present: Ally Dunham (President), Brad Teigen, Judy O’Leary (Secretary), Veronica Ramsay
Directors absent: Stacy Miller(Treasurer), Colin Swarbrick
Others present: Terry Smith, Don Oltrop, Dave Smith, Margo Macleod, Dick Jarand, Elise Gareau-Smith, Jan Truss, Tim Clinton, Leslie Cameron, Randy Jozwiak, Colin Hebdon, Darra Hebdon
2. Minutes
Minutes from the last meeting amended to include the list of all those present. Moved by Brad Teigen, seconded by Ally Dunham
3. Old Business
- a. Bylaw Subcommittee
- Revisions are still underway and hopefully will be ready for the December meeting.
- b. Library Options
- Judy O’Leary tabled for information a report submitted by the Friends of the Water Valley Public Library Society on options for an expanded library.
- Jan Truss added some background information.
- The Chinook Creative Arts Foundation tabled a motion from their meeting regarding an application for provincial heritage status for the building. The Provincial Heritage Conservation Advisor will be contacted for clarification on the building’s current status.
- c. Library Subcommittee
- The Library subcommittee has prepared a report requesting additional $6,000 in base funding for the library from the County. The report was circulated earlier to the executive..The subcommittee requests that this report be sent to the county. Moved to send the report to the County of Mountain View. Moved by Judy O’Leary, seconded by Brad Teigen.
- d. Response to request from Lorna Oltrop
- This was dealt with in camera. See motion below.
4. New Business
- a. Health Inspection
- The hall passed the health inspection and just a few small improvements are necessary.
- b. Event Coordination
- More people are needed to help with our major events: New Year’s Eve, Stud Auction, Turkey Dinner, Water Valley Days. We will form subcommittees for each event. If not enough help is lined up in time for a particular event, it will have to be cancelled. We will search out help through a Hitching Post article, by word of mouth and by asking for help from the people attending the events.
- c. New Signs
- The secretary will write a letter to the Cremona and District Chamber of Commerce thanking them for the great signs installed in the community.
- d. School Yard Maintenance
- Elise Gareau-Smith requested that the potholes in the yard be repaired. Ally Dunham will ask the county for assistance to repair these or at least to provide permission to obtain gravel.
5. Motion to go in camera
Motion to go in camera made by Ally Dunham, seconded by Veronica Ramsay.
Motion resulting from in camera session:
- Moved by Ally Dunham, seconded by Judy O’Leary to accept the letter of apology drafted by Lorna Oltrop on November 12 2008 and the conditions included in that letter.
